Reminder--Documentation Must Support Mileage

Just a reminder that if you claim mileage while working with a client your documentation must include the details of your travel to support that mileage claim.  Auditing is picking up instances where folks have turned in mileage but their documentation never mentions the destinations or activities claimed on the mileage sheet.  Remember that each sheet must back up the other.  If you take a client out into the community and turn in mileage for reimbursement your documentation must include that information. 
 
Also remember that falsifying or inflating mileage for reimbursement is grounds for immediate termination and garnishment of your wages to repay the fraudulent mileage claim(s).  Please don't risk it.  Thank you for helping us keep our records accurate.

Reminder--No Pencils



Waiver paperwork continues to be submitted in pencil on a consistent basis.  Please remember that all paperwork must be completed in blue or black ink--no pencil and no White-Out or correction tape.  Mistakes should be corrected by drawing a single line though the error and then placing your initials beside the error, then writing in the correct information.

Note Absences On Timesheet

Now that we are tracking trends in our effectiveness and efficiency in advance of our CARF certification, it is important that all Waiver employees leave a note on their timesheet anytime they do not work their regular schedule with a client.  This would include sick days or days that you might be scheduled off with approval or days that a client was in the hospital, etc.  Please note any day you miss on your timesheet and the reason, even if it was an approved absence.  For instance, if you were sick on Wednesday, simply note on your timesheet that you were sick on Wednesday and did not work.  If the client was sick on Wednesday, please note that the client was sick and you did not work.

Special Olympics State Games

The Special Olympics State Games will be May 23-25th in Searcy this year.  Many of our clients participate as athletes and many more like to attend the games to support the Olympians.  Waiver employees are welcome to accompany clients to the event as a recreation and socialization activity.

Group Home Attendance Logs

A reminder to all Waiver employees who work at the Group Home, including those who sub or fill-in when needed--signing in and out at the Group Home is mandatory.  Attendance logs are audited against our payroll timesheets and it is being noted as a discrepancy any time you fail to sign in or out.  Please also be reminded that your sign in/sign out time in the attendance log must match your timesheets exactly--when they don't match, your paycheck can be delayed until the discrepancy is corrected.  Repeated violations can be grounds for termination.  Please don't risk it--we need you and our clients need you too!  Remember to sign in and sign out correctly every time you work at the Group Home.
